Effective collaboration is essential in the healthcare sector, especially when multiple organisations work together to provide optimal care. Yet, managing various IT systems and addressing security challenges can hinder this process. PSW, dedicated to supporting individuals with intellectual disabilities, faced these challenges. The solution came in the form of a tailored partner portal, developed by Ictivity using Workspace 365, which has redefined collaboration among healthcare providers and simplified access to vital information.
The challenge: Access to healthcare information is complex
The nature of healthcare is evolving, and clients with complex needs frequently require support from multiple providers. Last year, €94 million was invested in the Dutch healthcare sector to enhance collaboration between key stakeholders, including hospitals, health institutions, disability care organisations, nursing homes, home care providers, and patient associations, as well as suppliers of medical devices and medications (ICT&health, 2024).
However, in many cases, caregivers from various organisations support the same client, but critical client information remains fragmented across multiple IT systems. For effective collaboration, providers need access to each other's systems to view vital client data, which presents new challenges, such as the requirement to log into multiple systems repeatedly, increasing both security risks and administrative demands. These challenges not only result in added administrative burdens and higher costs, but also hinder collaboration between healthcare providers.
Healthcare organisation PSW, which specialises in supporting individuals with intellectual disabilities, has also encountered these obstacles. This has compounded the complexity of care delivery and reduced the time caregivers can spend on direct patient care—exactly what care staff aim to prioritise amid demanding schedules.
The solution: One partner portal for enhanced collaboration and easy information sharing
In collaboration with our partner Ictivity, PSW created a digital partner portal using Workspace 365. This portal provides a single, central location where all relevant information is easily accessible to PSW’s partners. The aim? To enable simple knowledge-sharing and information exchange across partnerships, allowing care workers to focus on what truly matters – delivering care.
Through Single Sign-On, PSW care teams and external partners now have direct access to essential (client) information with just one login. Edwin Friesen, IT architect at Ictivity, explains: “In many sectors, partnerships are becoming increasingly important, but they also bring (technical) challenges. This is particularly true in healthcare. The partner portal offers a unique solution to allow employees from different organisations to collaborate safely, efficiently, and cost-effectively within the care network.”
Not only does this provide access to critical information, but it also enhances security and strengthens collaboration among care providers.
The outcome: More time for care, less IT complexity
The results are impressive. Care providers can now work from one central location without needing multiple logins for different systems. The portal offers direct access to key documents, such as Electronic Client Dossiers (ECDs), Electronic Health Records (EHRs) care protocols, and shared calendars. As Saskia Aspers, policy advisor for care and information at PSW, notes: “Everything is organised in one place. That saves a lot of time, allowing us to focus on what truly matters – providing optimal care.” This has significantly reduced the workload for care teams and paved the way for further collaboration within the network.
Future plans: Expanding the partner portal
Although the partner portal has already been successfully implemented within one partnership, PSW is ambitious and has plans for further expansion. Mark Kunkels, functional application manager at PSW, shares: “Ultimately, the goal is to continue developing the partner portal with Ictivity and roll it out to all partnerships where it could add value. In this way, we hope to support as many healthcare employees as possible.”
